Booking Terms & Condions
Last updated: 12.10.2026
These terms apply to bookings of Beautiful Mews Cottage made through our website. Please read them, together with our House Rules and Privacy Policy, before you book. Nothing in these terms affects your statutory rights as a consumer.
1. About us
1.1 Beautiful Mews Cottage is operated by Ovingdowns Limited (“we”, “us”, “our”), a company registered in England and Wales, company number 13337838. Our contact address is Unit 8 (GF) Magellan Terrace, Gatwick Road, Gatwick RH10 9PJ
1.2 Contact us about bookings, cancellations, complaints or urgent issues during your stay: email alisonkelly30@virginmedia.com, or telephone 07776 187249 or 07771 945652.
1.3 “You” and “your” means the lead guest who makes the booking. “Your group” means everyone staying at or visiting the property under your booking.
2. Making a booking
2.1 Bookings are made through the booking form on our website, beautifulmewscottage.co.uk, which is provided by our booking-service provider, Lodgify. Payments are processed by Stripe.
2.2 Before you book, please check your dates, number of guests, any pet and the price shown. Our House Rules and these terms are linked from the booking form and form part of our contract with you.
2.3 You must be at least 18 to make a booking. You are responsible for making sure your group follows these terms and the House Rules.
2.4 Your booking is accepted, and a binding contract is formed, when your payment (the 50% booking deposit, or the full price for bookings made within 14 days of arrival) is successfully processed. We will then email a booking confirmation with a link to your booking details, these terms and the House Rules.
2.5 If your payment does not go through, no contract is formed and the booking will not be confirmed.
2.6 Bookings by businesses are welcome. If you book on behalf of a business, please tell us when booking and give us the names of the people who will stay if you will not attend yourself.
3. Price and payment
3.1 The price shown at booking is the total price for your stay, including any applicable pet fee (currently £30 per stay). There are no other mandatory charges.
3.2 If you book more than 14 days before arrival, you pay a 50% booking deposit when you book. The balance is due 14 days before your arrival date. We may collect it automatically using your saved payment method or send you a payment link or reminder.
3.3 If you book within 14 days of arrival, the full price is payable when you book.
3.4 If the balance is not received by the due date, we will contact you and give you a reasonable opportunity to pay. If it is still not paid, we may cancel your booking and the cancellation terms in section 6 will apply.
3.5 You do not have a 14-day cooling-off right for accommodation booked for specific dates. Our cancellation terms in section 6 apply instead.
4. Security deposit
4.1 We place a pre-authorisation (a temporary hold) of £250 on your payment card. No money is taken unless a deduction is agreed or justified under this section. The hold is released after our check-out inspection; your card provider controls when the released funds appear on your account.
4.2 We may make a deduction for reasonable costs arising during your stay from: damage beyond fair wear and tear (whether accidental or negligent); missing items; cleaning beyond normal levels; additional guests above the booked number; pets not declared or not permitted; lost keys; and smoking or vaping at the property (see 7.4).
4.3 Before making any deduction, we will contact you with details of the issue, supporting evidence such as photographs, and a breakdown of the costs. You may respond and challenge the proposed deduction, and we will consider your response before deciding. Repair or replacement costs will take account of the age and condition of the item.
4.4 If the reasonable cost exceeds £250, we may invoice you for the difference, subject to the same process.
5. Your stay
5.1 Check-in is from 4pm on your arrival date and check-out is by 11am on your departure date. Early arrival or late check-out may be offered free of charge where the property is available; please ask us in advance.
5.2 The maximum occupancy is four adults. An infant sleeping in a cot may stay in addition.
5.3 The property is for holiday use by your group. Parties, events, gatherings, and hen or stag groups are not permitted. Commercial filming or photography requires our prior written permission and is subject to our requirements.
5.4 Please be considerate of neighbours, particularly in the evening and early morning.
5.5 There is no parking at the property. Public on-street parking is available in adjacent roads, subject to local restrictions.
5.6 Please take reasonable care of the property and its contents, follow the House Rules and any safety instructions, and report any damage, defect or problem to us as soon as possible.
5.7 Third-party providers (such as caterers or entertainers) may only attend with our prior written permission.
5.8 There is no CCTV, doorbell camera, noise monitoring or other monitoring at or around the property.
5.9 We will normally give you at least 24 hours’ notice, and seek your agreement, before entering the property for an inspection or repair during your stay. In an emergency, or where an urgent repair is needed, we may need to give shorter notice.
5.10 Please take all belongings with you when you leave. We will try to contact you about anything left behind and can return it at your cost.
5.11 Wi-Fi is provided for general use. We will do our best to keep it working, but we cannot guarantee speed or uninterrupted service.
6. Cancellation
6.1 Cancellation by you. Please cancel by email to alisonkelly30@virginmedia.com. The date we receive your email is the cancellation date.
(a) 14 days or more before arrival: full refund of all money paid.
(b) Less than 14 days before arrival: refund of 60% of the total booking price.
(c) On the arrival date, or if you do not arrive (no-show): no refund.
6.2 Re-letting. If you cancel under 6.1(b) or (c) and we re-let all or part of your dates, we will refund the amount needed so that we do not recover more than our actual loss. This means your refund will be the amount you paid, less any shortfall between your booking price and the replacement income, less a £25 administration fee. Your refund will never be less than you would have received under 6.1.
6.3 Leaving early. No refund is due if you choose to leave early, unless the property is not habitable (see section 8) or we agree otherwise.
6.4 Refunds are made to the original payment method within 14 days of the cancellation or of the re-letting being confirmed.
6.5 Cancellation by us. We may cancel if your payment is not received (see 3.4), if you seriously breach these terms (see section 9), or if a major problem at the property cannot be put right before your stay. If we cancel for a reason other than your payment failure or breach, we will offer you a full refund or, if you prefer, alternative dates.
6.6 Travel insurance. We recommend that you take out suitable travel insurance covering cancellation.
7. Pets, assistance dogs and smoking
7.1 One small to medium-sized dog may stay, if declared at booking. The pet fee shown at booking applies. Dogs must be supervised and must follow the pet rules in the House Rules, including not going upstairs or on beds or sofas, and not toileting on the rear terrace.
7.2 You are responsible for damage caused by your dog. Any damage will be assessed at the check-out inspection and handled under section 4.
7.3 Assistance dogs are welcome, do not count as pets, and no pet fee applies. Registration or identification is not required. Please tell us if you will be bringing an assistance dog or need any adjustment, and we will consider reasonable adjustments to our usual pet rules.
7.4 Smoking and vaping are not permitted anywhere inside or outside the property. If there is evidence of smoking or vaping, an additional cleaning charge of 50% of our standard cleaning fee [£ amount] will apply, under the process in section 4.
8. Problems during your stay
8.1 If something goes wrong, please contact us as soon as reasonably possible so that we can investigate and try to put it right.
8.2 We will assess the situation, attending the property if necessary. Emergency repairs will be arranged as quickly as possible; other repairs will be arranged at the earliest time convenient to you.
8.3 If the property becomes uninhabitable for part of your stay because of a problem for which you are not responsible, we will give you a pro-rata refund for the nights affected. This does not affect any other rights you may have.
9. Ending a stay early
9.1 We may ask you and your group to leave if there is serious or persistent breach of these terms or the House Rules – for example, a party or event, more guests than permitted, illegal activity, serious damage, behaviour that puts people at risk, or persistent disturbance to neighbours. Except in an emergency or where the conduct is serious, we will warn you first and give you a chance to put things right.
9.2 If we ask you to leave under 9.1, any refund will reflect the circumstances and the loss we have suffered, including any re-letting of the remaining nights.
10. Our responsibility to you
10.1 We will provide the property as described on our website and with reasonable care and skill. Minor changes to décor or furnishings may occur; we will tell you about any material change before your stay.
10.2 We are responsible for foreseeable loss or damage you suffer as a result of our breach of these terms or our failure to use reasonable care and skill. We are not responsible for loss caused by you or your group, or for loss that was not foreseeable.
10.3 If you are a business customer, we are not responsible for loss of profit, business or business opportunity.
10.4 Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot legally be limited, and nothing affects your statutory consumer rights.
10.5 Any recommendations we make for local businesses or services are made in good faith; those businesses are responsible for their own services.
11. Events outside our control
11.1 We are not responsible for delays or failures caused by events outside our reasonable control, such as severe weather, flooding, fire not caused by us, or failure of public utilities. If such an event prevents your stay, we will offer you alternative dates or a full refund; if it affects part of your stay, section 8.3 applies.
12. Complaints
12.1 Please raise any concern during your stay so we can try to resolve it straight away. If you remain unhappy, email alisonkelly30@virginmedia.com with details. We will acknowledge your complaint and aim to respond fully within 14 days.
13. Your personal information
13.1 We use your information as described in our Privacy Policy at beautifulmewscottage.co.uk/privacy-policy/.
14. General
14.1 These terms, the House Rules and your booking confirmation form our contract. If there is a conflict, these terms take priority over the House Rules.
14.2 The terms in force when your booking is confirmed apply to that booking. Any updates apply only to future bookings unless you agree otherwise.
14.3 This is a contract to stay in holiday accommodation and does not create a tenancy or give any right to occupy the property after your departure date.
14.4 You may not transfer your booking to someone else without our agreement.
14.5 If any part of these terms is found to be unenforceable, the rest will continue to apply.
14.6 These terms are governed by the law of England and Wales. If you are a consumer living in Scotland or Northern Ireland, you may also bring proceedings there.
